The Student Affairs and Registration Department is responsible for the following tasks:
1. Reception of new students at the beginning of the academic year and the formation of committees (medical, technological, administrative) for the purpose of student registration, file creation, and receipt of registration documents.
2. Follow-up on the registration of re-nominated students and tracking the missing documents for new students.
3. Issuance of acceptance orders for each department according to the admission specializations.
4. Verification of the documents of accepted students at the institute with the Ministry every new academic year.
5. Organization of transfer forms and issuance of transfer orders for students subject to the transfer regulations during the summer vacation, as well as organizing transfer forms for new students.
6. Follow-up on daily correspondence received from the Board, the institute, and other departments, and drafting responses for it.
7. Monitoring the sessions of the Institute Council (under the student affairs section) and issuing administrative orders related to students (such as deferrals, failures, and deregistration), and applying the relevant examination regulations.
8. Issuance of orders related to student discipline after obtaining approval from the Dean on the discipline committee reports, as well as issuing orders for students violating the dress code.
9. Issuance of student identification cards for accepted students.
10. Issuance of certificates confirming students’ continuous enrollment as per their needs.
11. Providing students whose registration has been canceled with termination letters to the Directorate of Education.
12. Implementation of decisions regarding the re-admission of students whose registration was cancelled, and issuing orders for their return to their academic departments.
13. Supervising the activities of the deparment’s staff and related formations.
14. Monitoring the work of the department’s staff and auditing it in light of the laws, regulations, instructions, orders, and directives issued by the Technical Education Authority, the debt, or its representatives.
15. Recommending proposals for improving work methods and adopting electronic systems related to the department’s activities and its associated formations.
16. Preparing and updating the annual plans for human resources in the training.
17. Ensuring the security of data and information and preventing its unauthorized disclosure to parties outside the relevant authorities.
18. Monitoring the regular attendance of the formation’s staff and maintaining records of attendance and departure.
19. Participation in committees and work teams as required by the interests of the formation and the unit.
20. Responding to official correspondence within the specified deadlines.
21. Recommending appreciation, thanks, or penalties for the staff of the unit and its associated formations.
22. Approval of regular leave requests for the staff of the unit and its associated formations.
23. Direct supervision of the work within the unit, particularly regarding the registration of new students at the beginning of the academic year, and the necessary distribution of student registration tasks among the department’s staff.
